1. Who We Are
You Need Branding (YNB, we, us) operates youneedbranding.com. This policy explains what personal data we collect, why we use it, when we share it, and what rights may apply.

2. What Data We Collect
We may collect the following information:
Purchases and bookings
Name, email address, business name, billing information, order or booking details, transaction status, and service selections. Card information is processed by Stripe and is not stored by YNB.
Project, contact, onboarding, and support forms
Contact details, business information, website links, project requirements, budget or revenue ranges, messages, uploaded files, and any other information entered in a form.
Digital-product access
Order details, account or access status, download or delivery activity, and support requests related to a purchased digital product.
AI video, AI-agent, and automation projects
Images, voice recordings, scripts, prompts, likenesses, brand assets, business data, integration details, or other material voluntarily supplied for the requested service. Only provide material that you are authorized to use.
Email subscriptions
Name, email address, source of subscription, consent record, engagement information, and unsubscribe status.
Website and security data
IP address, browser and device information, page activity, timestamps, referral information, cookies, and server logs processed by our hosting, security, or analytics systems.
Do not send health information, government identifiers, full financial account information, passwords, or other highly sensitive material through a general website form. If a project requires special categories of data or protected credentials, we will agree on an appropriate method before collection..
3. How We Use Your Data
We use personal data to:
- Review and respond to project, service, and support inquiries.
- Take steps requested before entering into a contract.
- Process orders, payments, bookings, and account access.
- Deliver services, files, reports, digital products, and customer support.
- Operate websites, CRM, automation, AI, video, and platform workflows requested by the client.
- Send necessary service, order, scheduling, security, and account communications.
- Send The Structural Briefing and other marketing only where the recipient has opted in or applicable law otherwise permits it.
- Maintain records, prevent fraud, protect systems, improve delivery, and meet legal, tax, and accounting obligations.
4. Email Communications
Service and transactional messages
If you submit an inquiry, book a session, buy a product, or become a client, we may send messages reasonably necessary to respond, schedule, deliver, support, secure, or administer that interaction. These are not marketing subscriptions.
Marketing and The Structural Briefing
We send The Structural Briefing, service news, insights, and offers when you subscribe through a clearly labelled form, select an optional marketing checkbox, or where applicable law otherwise permits the communication. Submitting a project inquiry or purchasing a service does not by itself subscribe you to marketing emails.
Unsubscribing
Marketing emails include an unsubscribe link. You may also email hello@youneedbranding.com with unsubscribe in the subject line. We will stop marketing messages within the period required by applicable law. We may still send necessary service, order, security, or legal communications.
We do not sell or rent email addresses and do not send marketing to purchased lists.
5. Legal Bases for EU, EEA, and UK Users
Where the GDPR or UK GDPR applies, we rely on one or more of the following legal bases:
Contract: to process a purchase, booking, or agreed client engagement and deliver what was requested.
Steps before a contract: to review and respond to an inquiry at the person’s request.
Consent: for The Structural Briefing and other optional email marketing, and for other processing where consent is specifically requested.
Legitimate interests: to operate and secure the website, administer the business, prevent misuse, improve services, and communicate about an active inquiry or client relationship where those interests are not overridden by individual rights.
Legal obligation: to meet tax, accounting, regulatory, and other legal requirements.
Where consent is the legal basis, it may be withdrawn at any time without affecting processing that occurred before withdrawal. We do not treat submission of a general project or service form as consent to marketing.
6. Data Sharing and Service Providers
We do not sell personal data. We may share data only as reasonably necessary with:
- Stripe for payment processing.
- FluentCart, Fluent Forms, FluentCRM, and Fluent Booking for orders, forms, email administration, and scheduling.
- Hostinger and related infrastructure providers for hosting, storage, security, backups, and server operation.
- Google services for meetings, documents, email, or file delivery where used.
- AI video, avatar, voice, transcription, automation, integration, and model providers used for the specific service requested.
- Specialist collaborators who require limited access to deliver an agreed project.
- Professional advisers, regulators, courts, or authorities where reasonably necessary or legally required.
Each third-party provider processes data under its own terms and privacy practices. We limit the information shared to what is reasonably required for the relevant service. Before AI Video is activated, the actual production providers and their data terms should be reviewed and this section updated if a more specific disclosure is required.
7. International Data Transfers
YNB and some service providers may process personal data outside the country in which it was collected. Where required, we use contractual or other recognized safeguards for international transfers.
8. Data Retention
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including service delivery, support, security, tax, accounting, dispute resolution, and legal obligations.
- Inquiry records that do not become projects may be removed from active systems after 24 months.
- Client, transaction, and accounting records may be retained for the period required by law or legitimate business need.
- Marketing records are retained until unsubscribe, withdrawal of consent, or removal under the applicable retention process. A minimal suppression record may be kept so an opt-out is respected.
- AI project files are retained only for delivery, revisions, support, and any agreed portfolio use, then deleted or archived according to the project and provider settings.
9. Your Rights
Depending on your location and the law that applies, you may have the right to:
- Request access to personal data held about you.
- Request correction of inaccurate or incomplete data.
- Request deletion or restriction of processing.
- Object to processing based on legitimate interests, including direct marketing.
- Withdraw consent at any time where processing relies on consent.
- Request data portability where applicable.
- Lodge a complaint with the relevant supervisory or regulatory authority.

10. Cookies and Analytics
The website may use cookies or similar technologies that are necessary for sessions, forms, checkout, accounts, security, and site operation. It may also use analytics to understand page activity and improve the website. Where applicable law requires consent for non-essential cookies, those cookies should not be activated before consent.
YNB currently does not use advertising or retargeting cookies. If that changes, this policy and the site’s consent controls must be updated before those tools are activated.
11. Security
We use reasonable technical and organizational measures to protect personal data from unauthorized access, alteration, loss, or disclosure. The site uses SSL encryption, and card information is processed by Stripe. No online system is completely secure. If a breach creates a notification duty, we will notify affected people and authorities as required by applicable law.
12. Children
The website and services are intended for adults and are not directed to individuals under 18. We do not knowingly collect personal data from children.

We may update this policy when services, providers, or legal requirements change. The current version and revision date will be published at youneedbranding.com/privacy-policy/.
